Overview

The purpose of this job is to support the Wealth Special Assets Unit in any of the processes, functions, and activities as assigned or requested pertaining to the records, transfer, or custody of Special Assets – real estate, oil/gas, closely-held businesses, notes receivable, annuities, etc. These responsibilities include monitoring and tracking pending transactions, issue resolution, income collection, and maintaining complete and accurate records for all special assets in discretionary accounts.

Responsibilities:
  • Support as assigned or requested the procedures and controls that ensure that required activities for special assets are fulfilled in a timely, accurate and complete manner, including but not limited to asset transfer, income collection, maintenance expenses, tax payments, and insurance payments.
  • Perform duties as an official recording secretary for assigned Wealth Management Division committees and working groups and assist chairpersons with setting agendas. This includes, but is not limited to, running complete and accurate reports, preparing minutes, and completing the final record for each meeting.
  • Monitor daily cash reconcilements to ensure that all income is properly recorded.
  • Support the Asset Control Manager – Special Assets and the Property Manager(s) to ensure that all inspections, valuations, and other compliance related items are recorded properly and timely for all assets under the purview of the unit.
  • Support as assigned or requested the ongoing documentation requirements for special assets, including inspections, leases, timber management plans, oil/gas leases, oil/gas division orders, deeds, operating agreements, valuations, etc.
  • Support as assigned or requested the control and maintenance, quality, accuracy, and completeness of all special asset records and data, and execute corrective measures when instructed to do so.
  • Continuously develop personal subject matter expertise on the characteristics of special assets held and the operational handling and transfer of special assets.
  • Able to complete and comprehend SEI PLATO training assigned for role
  • Support the Special Assets Unit as requested for unit projects or operational events.  This will also include assisting the Special Assets - Property Manager with processing incoming and outgoing transactions, updating asset values, tracking the status of property repairs or other items related to the maintenance and administration of real property or other special assets.
  • Perform additional duties as assigned.
Qualifications
  • Education:
    • Associate’s degree in a business-related field with four years of experience in a role pertaining to asset custody, settlement, transfer and record keeping at a financial institution or equivalent work experience; OR
    • Bachelor’s Degree in a business-related field with two years of experience in financial service or administrative experience.
  • General knowledge of the characteristics and industry practices on a broad range of marketable and non-marketable debt or equity securities, real estate, mineral interests, collectibles, partnerships, or assets held at other institutions for the benefit of our Trust clients
  • Time management principles to prioritize workload
  • Detail oriented with excellent time management skills
  • Propensity to achieve high client service levels
  • Interpersonal and collaboration skills
  • Proficient with Microsoft Office applications including Word, Excel and PowerPoint
  • Strong written and verbal communication skills
  • Research and analytical skills
  • Sound judgment and ability to make decisions
  • Must pass basic Microsoft Word assessment
  • Must pass Intermediate Excel assessment
  • Must pass basic writing and grammar skills assessment
  • Prior attainment of a FINRA Series 6, 7, 24, etc. preferred
  • Certified Securities Operations Professional (“CSOP”) or Certified Trust Operations Professional (“CTOP”) preferred
  • Certified Property Manager (“CPM”) preferred
  • DTCC Learning Certifications preferred
  • SEI PLATO preferred

Physical Requirements/Working Conditions:  Must be able to sit for long periods of time and use computer keyboard and/or mouse, while viewing computer screens.
